You don't need a big AI project to get real value from AI. The best place to start is a small, repetitive writing job you already do every week. Here are five that tools like Claude, ChatGPT, Gemini, and Microsoft Copilot handle well, with prompts you can copy, paste, and adjust.
Two rules before you start. First, a person reads everything before it goes to a customer. Second, check your AI plan's data settings, and don't paste in passwords, card numbers, or sensitive customer details.
1. Replies to common emails
If you answer the same five questions every week, let AI draft the reply and you edit it.
You're helping me reply to customer emails for [business name], a [type of business] in [city]. Our tone: friendly, short, and clear. Facts to use: [hours, prices, service area, policies]. Draft a reply to the email below. If it asks something not covered by the facts, say we'll check and get back to them. Email: [paste email]
2. Review replies
Replying to every review helps your reputation, and it's easy to put off. Draft them in a batch.
Write a short reply (2 to 3 sentences) to this Google review for [business name]. Thank them by first name, mention one specific thing they said, and invite them back. If the review is negative, apologize without arguing, and ask them to contact us at [email] so we can make it right. Review: [paste review]
3. Quotes and estimates from your notes
Turn the notes you jot down on a job site into a clean, consistent quote.
Turn my notes into a clear quote for a customer. Use these sections: What we'll do, What's included, Price, Timeline, Next step. Use only the prices in my notes. Don't invent any. Flag anything that's unclear. Notes: [paste notes]
4. Meeting and call notes into a to-do list
After a call, paste your rough notes (or a transcript) and get the actions out.
From these notes, list: 1. Decisions we made 2. Tasks, with who owns each and a due date if one was mentioned 3. Questions still open Keep it short. Notes: [paste notes]
5. Write down how you do things
Every business has steps that live in one person's head. AI can turn a quick voice memo or rough list into a checklist a new hire can follow.
Turn this into a step-by-step checklist a new employee could follow on their first day. Use short numbered steps. Add a "Common mistakes" section at the end. Ask me questions if a step is unclear before you finish. How we do it: [paste notes]
Make it stick
Save the prompts that work. Most AI tools let you save instructions or create a reusable assistant so you don't paste the same setup every time. Once a job works reliably, it may be worth automating fully: for example, drafted replies waiting in your inbox, or a review reply ready for approval each time a new review comes in.
That's where we come in. Our AI setup packages set up the right tool and plan with you, connect it to your email and calendar, and train your team, and our automation work connects the tools you already use so the busywork happens on its own.
